MORTGAGE OPERATIONS SUPERVISOR

The Mortgage Operations Supervisor will be responsible for working closely with the Senior VP of Mortgage Lending in supervising and optimizing the operational processes of the mortgage division, from loan originating to closing. The role involves overseeing the training the mortgage processing, and closing teams to ensure timely, efficient, consistent, and accurate loan processing while ensuring the management of internal policies and overall industry regulations.

Key Responsibilities:

  • Work closely with the (LOS) System Analyst to ensure effective training, process optimization, and reporting related to the loan origination process.
  • Train, supervise, mentor, and manage mortgage operations staff, including processors, and closers. Must be self-motivated to find ways of improving training processes.
  • Review reports and monitor trends to determine areas where changes or more training is required.
  • Streamline processes to improve efficiency and reduce processing times without compromising compliance or customer satisfaction.
  • Must stay knowledgeable of mortgage origination technology applications to ensure staff is trained and systems are fully utilized.
  • Oversee and ensure smooth workflow across all stages of the mortgage process (origination, processing, underwriting, closing, funding).
  • Monitor loan pipeline and re-assign files as needed to maintain reasonable Processor and Closer workloads throughout the team and that loans are being processed timely and efficiently while meeting procedure expectations for submissions and quality.
  • Must work closely with Compliance, Disclosure Desk, Underwriting Manager, Loan Production Manager, and Secondary Manager.
  • Ensure that the company’s compliance of all relevant federal, state, and local regulations, including TILA, RESPA, HMDA, and other mortgage-related laws are being supported.
  • Develop and implement policies and procedures to mitigate operational risks and ensure compliance with regulatory changes and company policies.
  • Serve as a point of escalation for client issues and work with staff to resolve customer concerns in a timely manner.
  • Liaison between sales, processing, underwriting, and closing departments to ensure seamless communication and coordination throughout the loan process.
  • Provide regular reporting to the Senior VP Mortgage Lending on key operational metrics, performance, and loan pipeline.
  • Work with the Senior VP Mortgage Lending regarding budgets and costs in the department.
  • Collaborate with IT department and mortgage service vendors to troubleshoot system issues and enhance mortgage technology capabilities.
  • Conduct performance reviews, provide feedback, and set professional development plans for direct reports
  • Perform other duties as assigned.

 Qualifications:

  • Bachelor’s degree in finance, business administration, or a related field.
  • 3-5 years of experience in mortgage processing, underwriting, or closing, with at least 1-2 years in a supervisory role.
  • 2-4 years of supervisory or leadership experience, managing teams in a fast-paced mortgage operations environment.
  • Proven experience in streamlining mortgage processes, improving efficiency, and ensuring compliance with industry regulations.
  • Strong knowledge of loan origination systems.
  • Experience working with automated underwriting systems.
  • Demonstrated ability to train, mentor, and develop mortgage operations staff, ensuring high performance and adherence to company policies.
  • Proven track record of meeting operational goals, such as loan processing turnaround times, customer satisfaction, and regulatory compliance.
  • Experience in handling escalations and resolving complex mortgage loan issues.
